Job Description:

The office coordinator position is responsible for overall office activities, including the reception area, mail, directing and coordinating office services and related activities, including managing office supplies and promotional items, administer travel arrangements and help manage internal office space.

Responsibilities (tasks, duties):

  • Answer phones, greet, and direct visitors appropriately.
  • Manage the schedule for office conference and meeting rooms, ensuring that executive meeting needs are always met.
  • Maintain the stock levels for office and promotional supplies and submit purchase requests to management when necessary.
  • Coordinate and plan company social events that take place during and after business hours.
  • Kitchen and appliance maintenance, ordering supplies and stocking beverages.
  • Maintain the office and keeps the office tidy to promote an efficient working environment.
  • Help arrange necessary repairs, upkeep, safety, and facility asset tracking (furniture, IT equipment, printers, keys, fobs etc.), and place orders.
  • Employee onboarding logistics and technology support (e.g. set new employees up with a phone, computer, keys, etc.).
  • Manage internal space and office moves.
  • Draft and revise various memos, announcements, and other internal documents in both French and English.
  • Act as liaison between the customer and the firm’s purchasing order process to ensure a timely and smooth experience for the customer
  • Provide support to the Sales Group assisting with customer service-related activities on an ad-hoc basis as identified by the Account Manager.  
  • Organize the reception area and office services department.
  • Other duties assigned.

Required qualifications:

Training, degrees:

  • College or high school.

Experience, knowledge:

  • 2+ years experience in office administration
  • Excellent verbal and written communication abilities in both French and English
  • Proficient in Microsoft Office Suites.

Job Description:

Reporting to the Chief Executive Officer, the Communications Specialist is responsible for internal and external communication activities (including some website content and social media marketing), media relations and events support.

Responsibilities (tasks, duties):

The Communications Specialist will:

  • Work closely with senior management to ensure the implementation of the company’s communication plan to preserve and improve the reputation of the company; 
  • Create effective communication strategies for our company;
  • Communicate the strategy, business model and value proposition of the company;
  • Write speeches and coordinate external and internal communications flow (memos, newsletters, company website, etc.);
  • Ensure the accuracy, consistency and effectiveness of key messages;
  • Provide communication support to the various departments of the company;
  • Manage the design and production of various communication tools and their translation;
  • Plan events, seminars, and press conferences such as the annual meeting of shareholders;
  • Manage media inquiries and arrange interviews, statements etc.;
  • Support to develop and implement the crisis communication plan in connection with the company’s crisis management plan, serve as a facilitator and provide solutions for peaceful resolution of disputes;
  • Write, distribute and follow up on all press releases;
  • Ability to Travel;
  • Other duties as needed.

Required qualifications:

Training, degrees:

  • Degree in communications or related field.

Experience, knowledge::

  • At least 5 years of relevant work experience;
  • Advanced skills with Microsoft Office products (Excel, PowerPoint, Word, etc.); 
  • Good understanding and experience with relevant social media channels; 
  • Ability to develop and execute strategic communications plans and offer sound strategic advice.
